Cancellation & Payment Policy

A $50 retainer is collected when your transaction file is opened. If you cancel within 24 hours of payment, the retainer is refunded in full. After 24 hours, the retainer becomes nonrefundable and is credited toward your total coordination fee if the transaction closes. Refunds are returned to the original card and typically appear within 5–10 business days. The successful payment date becomes Day 1 of the initial 30-day coordination period. The remaining balance is scheduled for payment three business days before the current estimated closing date. If the transaction is extended beyond its initial 30-day coordination period, a one-time additional $50 nonrefundable extension retainer will be charged (the 24-hour window does not apply to it). The extension begins an additional 30-day coordination period. The extension retainer is also credited toward the total coordination fee if the transaction closes, and the final payment date will be recalculated based on the updated closing date. If the transaction cancels after the 24-hour window or does not close, retainers already collected remain nonrefundable.

24-hour cancellation window

A $50 retainer is collected when your transaction file is opened. If you cancel within 24 hours of payment, the retainer is refunded in full. After 24 hours, the retainer becomes nonrefundable and is credited toward your total coordination fee if the transaction closes.

The 24 hours are measured from the moment your retainer payment succeeds. While the window is open, your transaction page shows a "Cancel file — full $50 refund" button with the exact time the window closes. Cancelling within the window cancels the file and any scheduled balance charge. This window applies only to the initial retainer — the $50 extension retainer is always nonrefundable.

Refunds are returned to the original card and typically appear within 5–10 business days.

The 30-day coordination period

Day 1 is the date your initial $50 retainer payment succeeds. The initial coordination period runs for 30 calendar days from that date. For example, a retainer paid on August 1 makes August 1 Day 1 and the initial period ends on August 30. If the transaction is still active after that date, it becomes eligible for the one-time $50 extension retainer.

Final payment timing

The remaining balance is scheduled three business days before the current estimated closing date. Business days exclude weekends and recognized federal holidays. If closing is on a Friday with no intervening holiday, the final payment is scheduled for the preceding Tuesday. You'll receive advance notice of the exact amount and charge date, and an administrator may approve, postpone or waive the scheduled charge.

Extensions

An extension is never applied automatically simply because Day 30 has arrived — an administrator must confirm it, or approve an extension notice from the agent. An extension adds another 30-day coordination period and a one-time $50 nonrefundable extension retainer. Both retainers are credited toward the total coordination fee, so a $350 transaction with one extension still totals $350: $50 initial retainer, $50 extension retainer and a $250 remaining balance.

Cancellation

If you cancel within 24 hours of your initial retainer payment, the retainer is refunded in full and no balance is charged. After 24 hours, retainers already collected are nonrefundable. If a transaction is cancelled before closing after the window, an administrator will assess whether any portion of the remaining balance is due based on work performed and communicate the amount before charging your saved payment method.
